Thesis Upload Instructions for Graduation Clearance – 2nd Semester, Aacaedmi Year 113

 

In accordance with the regulations set by the Office of Academic Affairs, graduating students are required to complete the electronic thesis upload process as early as possible. One of the procedures for graduation clearance is the submission of two hard copies of the thesis. The thesis may be submitted in either hardcover or paperback binding; however, paperback versions must still include a printed spine and a laminated cover. Please refer to the following guidelines provided by the Library:

  1. Before printing the thesis, students must complete the following steps in the NCCU Electronic Theses and Dissertations System:

    • Fill out bibliographic information

    • Upload the electronic file

    • Upload the signed Oral Defense Committee Approval Page as File No. 02 in Step 2

    • Wait for the Library to confirm that the bibliographic data and uploaded file meet format requirements. Only after the Library finishes setting security and adding the NCCU watermark to the thesis file can students proceed to print their hard copies.

  2. After students upload their thesis, the Library will review submissions in order of upload within 2–3 working days (requests for expedited review via phone calls will not be accepted). The review outcome will be sent by email. If the file does not pass the review, students must revise it based on the email instructions. Once the file passes review, the system will automatically apply watermarking and security settings during the following early morning. After receiving the email titled “Electronic Thesis Security Settings Confirmation Notice”, students should log in to the system to download the watermarked and secured file, which should then be used for printing the thesis.

  3. Library thesis review service hours are Monday to Friday, 8:00–17:00. Reviews will not be conducted on July 18, July 25, August 8, August 15, and August 22 due to the university's summer recess. Students are strongly encouraged to complete the electronic upload process as early as possible.

    Based on past experience, the number of submissions increases significantly as the graduation deadline approaches, which may result in longer review times. Additionally, printing services may require more time due to a surge in orders. To ensure all graduation procedures are completed before the deadline, please upload your thesis early.

  4. According to the resolution passed in the 1st Academic Affairs Council of the 1st Semester of Academic Year 110, both hardcover and paperback theses are acceptable for submission; however, paperback versions must include a printed spine and a laminated cover.
